The Pivot Point Counseling privacy statement recognizes the value of privacy of our clients. This privacy notice provides more specific information on how the Pivot Point Counseling text messaging service collects and processes your personal information.

The notice applies to our practices for gathering and disseminating information related to the Pivot Point Counseling text messaging service (“we”, “us”, or “our”) and is meant to provide you an overview of our practices when collecting and processing personal information.

How We Collect Information

We collect personal information in the following circumstances:

  • Direct Collection, when you provide information by responding to text messages, registering for a workshop, or submitting an intake request .

  • From Pivot Point’s Simple Practice portal, when we import your contact information from the new client information you provided when filling out new client paperwork to create or update your portal.

What Type of Information We Collect

Direct Collection

We directly collect the following personal information:

  • Opt-out preferences

  • Content of your text message or email responses to us.

  • Content provided in your intake request submission

  • Contact information provided when registering for a workshop

Collection from Pivot Point’s Simple Practice portal

We import personal information from Pivot Point’s Simple Practice portal system. The information includes:

  • First and last name

  • Phone number

  • Email address

How This Information Is Used

We use the personal information we collect to communicate with you regarding Pivot Point Counseling operation and services, such as:

  • Requests for services

  • Scheduling appointments,

  • Practice announcements or updates- unexpected closures or changes to our schedule, new policies, and upcoming workshop series’

  • Appointment reminders

  • Non-clinical related client issues, such as running late or cancelling an appointment

With Whom This Information Is Shared

We do not sell or rent your personal information. We may, however, share your personal information in limited circumstances, such as with other authorized providers or external service providers that support business activities. Specifically, we share your information with Simple Practice, which provides the platform Pivot Point Counseling uses for scheduling, documentation, telehealth services, billing, secure messaging, and appointment reminders, and RingCentral which provides the communications platform Pivot Point Counseling uses for text messaging services.

We require our service providers to keep your personal information secure, and do not allow them to use or share your personal information for any purpose other than providing services on our behalf.  

We may also share your personal information when required by law, or when we believe sharing will help to protect the safety, property, or rights of our clients, our practice, members of our staff, and practice guests.

If you wish to unsubscribe from Simple Practice appointment reminders via text or email, navigate to settings > Client Reminders and toggle off any reminders that are enabled in your client portal.

Please note that unsubscribing from text messages from one service will not unsubscribe you from other services. Unsubscribing will not remove your information from Pivot Point Counseling’s medical record systems.  

The accuracy of your contact information in your Simple Practice Client Portal is critical for the delivery of text messages. If you wish to update your contact information, please see your providers portal link by clicking on our “existing clients” tab and then clicking on your therapists’ portal link.

Pivot Point Counseling recognizes the importance of maintaining the security of the information it collects and maintains, and we endeavor to protect information from unauthorized access and damage. Pivot Point Counseling strives to ensure reasonable security measures are in place, including physical, administrative, and technical safeguards to protect your personal information.
